We are looking for a highly organized Marketing Design Ops & Project Manager to run traffic and own the operational backbone of Marketing Design. In this role, you will manage intake, prioritization, workflows, tooling, vendors, and reporting to ensure creative work moves efficiently from request to delivery, with minimal rework and maximum clarity
Key Responsibilities:
Own the single intake process; run daily triage by refining briefs, clarifying goals, and routing work to the right creative skillset.
Manage priorities, owners, and deadlines, and communicate changes clearly.
Build weekly production plans with an understanding of creative effort, dependencies, and iteration cycles. Balance workloads across in-house designers and freelancers, and flag delivery risks early.
Partner closely with creatives, developers, and stakeholders to enforce strong brief standards, run WIP reviews, and conduct pre-flight checks - reducing rework without compromising creative quality.
Apply AI thoughtfully to remove operational friction, reduce repetitive work for creatives, and improve delivery efficiency, collaboration, and team empowerment- without compromising creative quality.
Maintain asset libraries, templates, DAM structure, file naming, versioning, and export standards in ways that support how designers actually work.
Handle licenses, renewals, seat utilization, POs, and freelancer onboarding/offboarding in coordination with IT, Legal, and Finance.
Track cycle time, throughput, SLA performance, rework rates, utilization, and time-to-provision; lead retrospectives and continuously improve the creative operations playbook.
Requirements: 3+ years of experience in project management and operations, with proven ability to organize, prioritize, and run complex systems; background in marketing or a creative agency is a plus.Able to dive into the substance behind designs (intent, narrative, constraints) and translate messy stakeholder feedback into clear, actionable direction for others (what to change, and why).
Technical enough to understand a complex SaaS product, its engineering realities, and the tools teams are using - anticipating feasibility risks, aligning early with collaborators, and reducing rework.
Proven ability to manage multiple concurrent projects, priorities, and timelines in a fast-paced environment without disrupting creative focus or quality.
Strong experience building and maintaining transparent project tracking across the organization, ensuring stakeholders have clear visibility into timelines, ownership, and deliverables.
High proficiency in task management tools (such as Monday.com), with hands-on experience building, maintaining, and optimizing boards for creative workflows, dependencies, and delivery status.
Comfort working with procurement, licensing, renewals, and IT coordination as part of running a healthy creative operation.
Strong operational mindset, with experience using data to improve delivery speed, predictability, and quality over time.
