Administrative support to Towers Business Unit departments and the related staff, in a global organization with around 3500 employees. The assistant will take care of the following aspects:
Coordinate appointments and manage calendars: make sure appointments occur on time and ensure follow-up as necessary.
Assist the BU managers in managing the organization's activities through meetings and follow up with managers and employees in the organization.
Identify urgency, get to know the organization and the various functionaries, understand the purpose of meetings and their importance.
Budget control and execution assistance. Issue follow up reports. Trip expenses reports
Support HR activities and organization events
Support meeting rooms managements
Support customers visits logistics
Office tools management (orders supply)
Offices seating management
All other logistics
Requirements: Good English in speaking and writing
Ability to critically think and apply judgment when resolving routine inquiries, analyze and interpret documents and data
Multi-tasked oriented/strong organizational skills in a very fast paced environment
Excellent skills in PowerPoint, Microsoft Word, and Excel and Outlook
Able to handle confidential matters and information in a professional manner
Highly organized, detail oriented and able to demonstrate successful multi-tasking abilities
Strong interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners
