Responsibilities
Travel Management- Coordinate flights, hotels, and ground transportation (incl. airport transfers); secure manager approvals; handle per diems, insurance, visas, and travel documentation; maintain accurate travel trackers and summary reports.
Employee Lifecycle- Support onboarding and offboarding in partnership with HR, Finance, Legal, and Operations; ensure processes are documented and delivered on time.
Events & Offsites- Plan and execute local/international team events and offsites: source and book meeting rooms/venues, arrange catering and activities worldwide, manage budgets, and run all on-site logistics.
Vendor & Service Management- Own relationships with travel providers, catering, transportation, delivery services, and food card vendors; drive reliability, SLAs, and fast issue resolution.
Employee Services-Manage employee card requests/replacements; handle food card activations/deactivations; coordinate gifts and recognition for local and remote staff.
Employee Recognition & International Shipments- Execute recognition programs end-to-end (vendor selection, purchase, customization, on-time delivery across countries); manage overseas shipping of merchandise and materials with customs compliance.
Operational Reporting & Controls- Keep trackers/databases up to date; perform audits on transportation, food cards, and deliveries; ensure adherence to company policies.
Project & Office Support- Provide logistics/admin support for cross-company projects (e.g., Hackathons); collaborate with the Office Manager on day-to-day facilities and ad-hoc needs; support meetups after office hours as required.
Stakeholder Collaboration- Act as a central liaison for employees, managers, and external vendors to keep workflows efficient and resolve requests quickly.
Employment Type: Temporary, full-time (6 months, maternity cover)
Requirements: Requirements
Proven experience in travel coordination, operations, or office/administrative roles.
Strong organizational skills and the ability to juggle multiple priorities with high attention to detail.
Hands-on experience with international travel logistics (approvals, per diems, insurance/visas, documentation) and vendor management.
Event planning experience across multiple locations, including budgeting and on-site execution.
Data-driven mindset with comfort maintaining trackers and conducting basic audits.
Excellent communication and service orientation; able to work cross-functionally and independently.
Fluent English (written and spoken); additional languages are a plus.
Flexibility to support occasional after-hours events/meetups.
