For more information, visit artlist.io We're looking for a talented Customer Experience AI Chatbot Coordinator to join our CX team. In this role, you will sit at the intersection of CX strategy and AI workflow design- using natural language prompting, intent architecture, and conversation flow expertise to drive ticket deflection and improve the customer journey. Someone with a strong instinct for how customers communicate, and the ability to translate that understanding into AI workflows that resolve issues without human intervention. Key Responsibilities
* Design, build, and iterate on conversational flows and NLP prompts within third-party AI chatbot platforms
* Develop intent libraries, training phrases, and response templates that accurately reflect customer needs and Artlist's brand voice
* Own the ongoing training and tuning of the chatbot to improve intent recognition and resolution rates
* Continuously refine bot behaviour based on performance data, conversation logs, and agent feedback
* Monitor key metrics - especially ticket deflection, containment, and CSAT - and implement targeted optimisations
* Contribute to the chatbot roadmap with ideas for new flows, use cases, and automation opportunities
* Work closely with the CX and Experience team to understand recurring issues, escalation patterns, and agent pain points
* Maintain clear, up-to-date documentation of all flows, training data, intent structures, and change logs

This is a role for someone who wants to build the org of the future, where agents and people work side by side, and is ready to own the program that gets a company there! Youre taking over the leadership of our AI Transformation: the internal AI work across every function. Youll own the program end-to-end.

What Youll Do?
Run the three pillars (Adoption, Infrastructure, Builds) and the foundation that ties them together. Adjust as we learn, and make it real on the ground.
Lead the change, not just the tooling - the hard part isnt building the agent, its getting people to change how they worked for years. Youll drive that change, build trust with VPs, and push where it matters.
Manage and grow the team - both direct reports and dotted line champions. Youll grow the team from there as the program scales.
Run the prioritization machine - choose whats the right effort, from vertical low hanging fruit and all the way to horizontal initiatives.
Make agents as employees real - every agent has a manager, a cost, a performance review, and a forward plan. Managers are measured and rewarded on how their agents perform.
Measure and report impact - hours saved, adoption, leverage and metrics you define and instrument. Report up. Adjust the program based on what the numbers say.
Stay hands-on - this isnt a role for someone who only writes plans. You build agents and workflows yourself when it makes sense, sit in proposal reviews with the PM, weigh in on architecture with the Engineer, and ship things when needed.

Responsibilities
Establish how AI initiatives are prioritized, staffed, coordinated, and delivered across various departments, bringing ownership and order to a fast-moving space.
Continuously assess external GenAI tools, platforms, and vendors; make build-vs-buy calls; and bring the best of what's out there into us.
Guide how we designs prompts, context layers, tools, and guardrails to make agentic orchestration reliable in production.
Ensure that across the company there are formal and informal education initiatives, many of which you will own or lead yourself.
Ensure the core AI foundations: serving, retrieval, evaluation, observability, and reliability - scale with the business.
Translate high-level vision into a sequenced roadmap, align resources to the highest-impact priorities, and measure outcomes against business goals.
Identify internal needs across teams, and articulate complex AI roadmaps clearly to non-technical, global executives.
Build the guardrails and governance around how the company works with AI.
