We are seeking a dynamic and detail-oriented Office Manager to oversee key administrative, travel, and employee-facing functions.
This role is critical to maintaining a positive work environment, ensuring smooth business travel logistics, and supporting various operational processes across the company.
Key Responsibilities:
Employee Experience & Engagement:
Design and execute the companys annual employee experience and welfare program.
Organize and manage employee events, including:
Holiday toasts and celebrations
Company offsites
Holiday gift distribution
Happy hours & parties
Act as a point of contact for all employee-related welfare needs.
Business Travel Coordination:
Flight booking and ticketing
Accommodation reservations
Ground transportation arrangements
Travel insurance tracking and exceptional case support
Coordinate approvals from relevant managers for all travel requests.
Maintain close communication with the travel agency.
Ensure timely and accurate invoice approvals and travel agenda preparation as needed.
Mobile Plan & Communications Management:
Onboarding and offboarding of employees from the companys cellular plan
Activation of mobile data packages
Management and renewal of the agreement with the cellular provider (Telephone)
Finance & Reporting Support:
Shuttle usage summary
Attendance system reports
Process invoices and expense reports through the Mesh system
Back Office System Management:
Telephone: Manage monthly employee updates and invoice submission to Finance
Dream Team: Add/remove users, monitor and close reports monthly, send reminders, handle sick leave documentation, ensure managerial approval, and generate reports for Finance and HR
Shuttle Management: Coordinate with the shuttle provider for adding/removing employees, addressing change requests or feedback
General Administrative Support (G&A):
Provide front desk and general office administrative support
Facilitate internal operational processes and vendor agreements as needed
Order and distribute employee equipment and swag (e.g. backpacks, bottles, branded items).
Requirements: Previous experience as an Office Manager (or a similar role focused on employee engagement or office operations)
Strong organizational skills with excellent attention to detail
Ability to manage multiple priorities and work independently
Strong communication and interpersonal skills
Fluent in Hebrew and English (spoken and written)
Prior experience in travel coordination, event planning, or administrative roles an advantage
Familiarity with systems like Mash and Dream Team a plus.
