As a Personal Assistant (PA) to the CEO, you will play an important role in supporting the CEO in various administrative and organizational tasks. You will be responsible for managing the CEO's and Management schedule, coordinating meetings, handling correspondence, making travel arrangements, and providing support to ensure the smooth functioning of the executive office. This role requires a high level of discretion, excellent organizational skills, strong communication abilities, and the ability to work efficiently under pressure.
Responsibilities: 1. CEO calendar and Schedule Management: • Proactively manage the CEO's calendar, including scheduling appointments, meetings, and conferences, while considering priorities and potential conflicts. • Coordinate and confirm all logistics for local and overseas meetings, including travel arrangements, accommodation, and necessary materials. • Anticipate and prepare the CEO for upcoming commitments and ensure all relevant information is available. 2. Management Meeting Coordination and Support: • Arrange and coordinate meetings, conferences, and events, both internally and externally, ensuring all logistics are in place. • Work with Management Team members to gather and distribute agenda items, materials, and necessary documentation. • Coordinate Board meetings. 3. Communication and Correspondence: • Screen and prioritize incoming calls, and other communications addressed to the CEO and other key members of the executive team. • Maintain effective communication channels with internal and external stakeholders, ensuring timely and accurate dissemination of information. 4. Travel and Logistics: • Plan and arrange domestic and international travel for the CEO, including flights, accommodations, visas, transportation, and other logistics. • Prepare comprehensive itineraries and travel packs, including meeting schedules, directions, and relevant documents. • Process travel-related expenses and ensure adherence to company policies. 5. Delegations and Visitor Management: • Coordinate and manage delegations visiting the company's headquarters, including arranging accommodations, transportation, and necessary logistics. • Serve as the primary point of contact for visitors, ensuring a welcoming and professional experience. • Plan and organize special events, conferences, or meetings involving external guests, providing support in terms of logistics, agenda preparation, and on-site coordination. 6. Confidentiality and Professionalism: • Maintain utmost confidentiality and discretion when handling sensitive information, ensuring the CEO's privacy and the company's best interests. • Represent the CEO professionally in all interactions, both internally and externally, fostering positive relationships and upholding the • company's reputation. 7. Additional assignments will be needed according to company needs.
Requirements: Proven experience as an executive assistant or personal assistant, preferably supporting C-level executives. Strong organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines. Excellent verbal and written communication skills in Hebrew and English, Attention to detail. Proficient in using productivity tools and software, such as MS Office Suite (Word, Excel, PowerPoint) and calendar management systems. Ability to handle sensitive information with discretion and maintain confidentiality. Exceptional problem-solving skills, with the ability to anticipate needs and proactively address issues. Flexibility and adaptability to work in a fast-paced environment and handle multiple tasks simultaneously. Professionalism, integrity, and a strong work ethic.
